Role Overview

 

The Site Procurement Assistant is responsible for executing and handling procurement activities at the site level. This role ensures that all goods, materials, and services required for program implementation are sourced efficiently, cost-effectively, and in compliance with Rare policies and procedures. The position requires strong coordination, vendor liaising, and logistical skills to support site teams and maintain smooth supply operations.

 

 

Essential Functions

 

Procurement Operations

  • Coordinate the procurement of materials, equipment, and services for site operations.
  • Prepare complete documentation for procurement in accordance with Rare policies and processes.
  • Monitor order status to ensure timely delivery and resolve any discrepancies or delays.
  • Maintain accurate procurement records and documentation for auditing and reporting purposes.

Vendor & Supplier Liaison

  • Identify, evaluate, and qualify local suppliers and service providers.
  • Negotiate pricing, payment terms, and delivery schedules to achieve cost savings and quality assurance.
  • Build and maintain strong relationships with vendors and contractors.

Field Coordination & Logistics

  • Collaborate with site teams to plan material requirements.
  • Coordinate delivery schedules, storage, and distribution of materials at project sites.
  • Support inventory control and ensure adequate stock levels at the sites.

Compliance & Reporting

  • Ensure adherence to Rare procurement policies, ethical standards, and donor or legal/government (if applicable) regulations.
  • Track procurement performance metrics and provide regular status reports to the Senior Associate.
  • Support internal and external audits by providing necessary documentation.

 

 

Essential Qualifications

  • Bachelor’s degree in Supply Chain Management, Business Administration, Logistics, or a related field.
  • Minimum of 1-3 years in procurement, supply chain, or logistics roles, preferably with field or project-based experience in a non-profit environment
  • Strong knowledge of procurement and sourcing processes including local market dynamics and logistics conditions.
  • Excellent negotiation, communication, and coordination skills
  • Proficiency in MS Office and other applicable procurement systems
  • High attention to detail and problem-solving skills
  • Ability to work independently and under pressure in field environments.
  • Willingness to travel to field/project sites as needed.
