Position Overview:
Rare is seeking a highly motivated, enthusiastic, and organized candidate to support our Finance team's work in financial analysis for the organization. As a key member of the finance team, the Finance Assistant's main duties involve expense reviews, account reconciliations, and providing support to the Finance Director.
This is an excellent entry-level opportunity to learn about and support the functions of an international NGO.
Responsibilities
- Following up with employees to ensure expense reports and timesheets are submitted in a timely fashion and are compliant with current policies.
- Audits expense reports (cash and business credit card) to ensure compliance with institutional policies and procedures.
- Create system recurring reports from the accounting system and time/expense reporting system to use in financial analysis.
- Perform reconciliations between the accounting system and the time and expense reporting system.
- Escalate staff noncompliance to the appropriate persons
- Monitors and reconciles staff cash advances.
- Reconciles business credit card statement.
- Support and update vendor management database.
- Manage the ticketing system to support answering inquiries from and provide information to staff on institutional financial policies and procedures.
- Monitors internal controls and compliance requirements per the organizational policies and procedures.
- Prepares various financial or administrative reports as requested.
- Provides support to the finance team in the management and coordination of special projects as assigned.
- Assists with the annual organizational audit, as needed.
Required Qualifications (Skills, Knowledge, and Abilities)
- A Bachelor’s degree in Accounting OR professional experience with financial transactions and basic accounting functions.
- Well organized, self-motivated, and able to manage deadlines independently.
- Superb attention to detail and proven ability to execute highly specific tasks.
- Must demonstrate the ability to work independently and meet deadlines.
- Initiative to take on new projects and continually exhibit a proactive attitude towards all tasks.
- High proficiency with Microsoft Outlook, Word, and Excel
- Enthusiasm for Rare’s mission and respect for its values, culture, and people.
- Excellent communication and writing abilities.
- Fluency in both Spanish and English is a must.
- Mandarin, Bahasa Indonesian, Portuguese, and/or German, language skills a plus.
