Position Overview

This position will support the Finance and Operation Manager for the day-to-day operational needs of the program in Honduras.  To ensure that financial management, human resources, office operations management, including IT systems, logistics, administration, and security needs, are met in accordance with Rare's policies and procedures, local laws and regulations, and donor requirements.

 

Primary Areas of Responsibility:

Operations Assistant, under the supervision of the finance and operation manager, will support the following areas of significance:

Operational and Logistics

  • Support in planning, coordinating, and executing internal and external events such as workshops, training sessions, etc., including obtaining quotes, developing comparative charts for the acquisition of accommodations, materials, airline tickets, and other services needed by staff during their work tours and/or workshops.
  • Assist in preparing purchase orders for suppliers and following up for their payment.
  • Support in the reception and delivery during vehicle rentals and verifying them against the information detailed in the purchase order.
  • Accompany staff when necessary on work tours to manage expenses during workshops or meetings.
  • Assist in the procurement processes for goods and services of the organization.
  • Draft, format, and edit reports, memos, and other documents as needed.
  • Maintain accurate records, files, and databases, ensuring easy access to information.

Administrative and Financial

  • Review travel advances and their settlements ensuring the proper use of funds in accordance with Rare’s internal policies and local laws for any type of advance given to staff or consultants.
  • Assist in preparing payment vouchers for the monthly accounting close.
  • Assist in the office petty cash settlement.
  • Validate all accounting documentation during the purchase of goods and services.
  • Support administrative processes for inventory control.
  • Assist with requirements requested by headquarters to address or improve processes.
  • Assist in the collection of financial data and the preparation of financial reports.
  • Support process payments to vendors and suppliers in a timely and accurate manner.
  • Assist with budgeting, expense tracking, and processing invoices or reimbursements.
  • Prepare programme/proposal financial documentation and financial reports for donors in accordance with donor requirements and Rare's policies and procedures.
  • Help with onboarding new employees, maintaining personnel files, and assisting with HR-related tasks.
  • Provide general administrative support to staff and management as needed.
  • Identify and suggest improvements to administrative processes to enhance efficiency and effectiveness.

Qualifications and Experience

  • Professional with a university degree in business administration, finance, accounting, or related field.
  • 2-5 years of experience in administrative and operational processes, any experience with NGOs will be valued positively.
  • Intermediate level in Excel, an advanced level will be valued positively.
  • Bilingual (Spanish and English) desirable
  • Skills in using office software, internet, Outlook, Zoom, and Microsoft Teams.
  • Availability to travel 30% of the consultancy either within or outside the country.
  • Valid driver’s license, with availability of own vehicle for internal transportation.
