Position Overview:

 

Reporting to the Senior Manager, Program Implementation, the Program Manager oversees the planning, execution, and assessment of our conservation program initiatives in Brazil. The Program Manager performs various tasks related to program/grants management and program strategy that require processing and interpreting complex concepts and issues. This includes program/project management, budget management, donor compliance, financial planning, coordination, and administrative support of grants. The Program Manager will work with program and global support staff to ensure that the management of Fish Forever grants follows the policies and procedures of Rare and donors.

 

Essential Functions:

 

Planning, Monitoring and Reporting:

  • Establish and maintain the Program Management Dashboard.
  • Assist in devising and executing programs aligned with organizational objectives.
  • Collaborate with cross-functional teams to plan, define metrics, and execute projects, ensuring adherence to timelines, budgets, and quality standards.
  • Monitor and report on program progress, including key milestones, accomplishments, and challenges in line with donor expectations.
  • Foster a culture of collaboration, innovation, and continual improvement within the conservation team and organization.
  • Support executive meetings by preparing presentations, tables, and pipelines; attend and record minutes in senior meetings and follow up on action items.
  • Research as requested by Brazil executives, summarize findings, and present results.
  • Establish and maintain record-keeping systems for the Brazil executive team, along with databases or systems to track and organize program information.

 

Programmatic Tasks:

  • Generate activity reports as necessary.
  • Prepare expense reports as required.
  • Assist in crafting donor reports.
  • Manage contracts with service providers.
  • Aid in schedule development: Support the creation and upkeep of project schedules, ensuring realistic scheduling of all activities.
  • Prepare and update planning spreadsheets: Maintain planning spreadsheets and other documents to facilitate progress visualization and identify potential delays.
  • Develop and monitor performance metrics and KPIs to measure project performance and identify areas for improvement.
  • Assist in implementing corrective actions: Support the project team in rectifying any deviations from the plan.
  • Communication and Reporting: Regularly provide project progress reports to internal and external stakeholders, ensuring clear communication.

 

Qualifications:

 

  • Bachelor's degree in Public or Business Administration, Natural Resource Management, or related field (Master's degree preferred).
  • Minimum of 5 years of program management experience.
  • Experience working with funding organizations such as foundations, multilateral organizations and government agencies. Experience managing multiple restricted grants desirable
  • Proven track record of successfully planning, implementing, and evaluating donor-funded programs or projects.
  • Excellent project management skills, including multitasking, meeting deadlines, and adapting to change.
  • Strong attention to detail and ability to perform complex tasks and prioritize competing requests
  • Exceptional communication skills, verbal and written, with the ability to engage diverse stakeholders effectively.
  • Demonstrated leadership abilities, fostering collaboration and driving results.
  • Proficiency in data analysis, reporting, and presentation tools.
  • Fluency in written and spoken Portuguese and English.
  • Proactive, consultative, and results-oriented with a strategic focus on advancing organizational missions and improving business models.
  • Experience in budget and deadline management.
  • Willingness to travel internationally and locally as required, often under challenging circumstances, and work extended hours when necessary.
  • Occasional travel for project meetings, conferences, and field visits.
