Over more than three decades, Rare has partnered with local organizations to run more than 400 conservation projects in nearly 60 countries all of which rely on humans changing behaviors. These include community-led solutions such as coastal fishery recovery, regenerative agriculture, and climate mitigation. 

 

Founded in 2017, the Center for Behavior & the Environment (BE.Center) is Rare’s center of innovation, learning and sharing for behavior change science and practice. We work with partners and clients both inside and outside of Rare and across the non-profit, private and public sectors. Now four years in and growing, the BE.Center is looking for an innovative and solutions-oriented team member who has top-notch project management and operations skills and wants to apply those skills to have a positive impact for people and nature. Reporting directly to the Vice President, Center for Behavior & the Environment, and working closely with other team members, the Operations Manager will be responsible for developing, leading and supporting systems to drive efficiency and excellence across BE.Center operations and service delivery. This will include improving or developing new systems and tools to support project management (staffing, tracking), business operations (initiation, contractors, invoicing), finance (budget planning, reporting and reconciliation), fundraising and sales/revenue (in partnership with development colleagues), and communications.

The Operations Manager will hire and manage a direct report (coordinator, to be hired within 6 months of onboarding) and will work closely with other leaders on the BE.Center team, including the Senior Director of Partnerships & Engagement, Director of Training Programs, Director of Behavioral Science, and Director of BE.Center China, among others.

 

Core Responsibilities

  • Team coordination, management and logistics
      • Schedule, strategize, plan and lead monthly all-team meetings, monthly leadership team meetings, ad-hoc team meetings, and semi-annual work planning sessions/retreats
      • Conduct/facilitate occasional project pre- and post-mortems
      • Develop new systems for project staffing and capacity tracking
      • Oversee BE.Center team policies and protocols (and/or compliance with Rare policies and protocols)
      • Oversee/promote use of team Slack channels and Outlook calendar
      • Manage at least one direct report (to be hired within 6 months of onboarding)
  • Business management and finance
      • Lead development, execution and maintenance/tracking of contracts, invoices and payment request forms
      • Process occasional team-level or senior-level expenses
      • Manage staff time accounting, provide and update timesheet guidance to staff, and approve timesheets on a monthly basis
      • Oversee account (eg, software) management and ownership
      • Collaborate with Development and Finance on donor/partner/client reporting and due diligence
      • Other client reporting
  • Correspondence and communications
      • Conceptualize, draft and prepare Quarterly Updates from BE.Center Vice President (distributed via Salesforce Marketing Cloud)
      • Manage behavior@rare.org inbox and direct correspondence to relevant team members
      • Correspond with internal and external partners in collaboration with BE.Center pillar leads
      • Support Vice President correspondence with Advisory Council
  • Planning, fundraising/sales, budgeting and reporting
    • In partnership with the Vice President and the Finance department, support budget development, management and reconciliation/monitoring
    • In partnership with the Vice President, oversee execution and reporting of Departmental Balanced Scorecard
    • In partnership with the Vice President, BE.Center pillar leads, and Development colleagues, support tracking of fundraising and sales pipeline and make recommendations for improvement

 

Valuable Skills, Preferences and Experience

The ideal candidate will...

  • Bring a solid skillset and toolkit in project and business operations management
  • Be extremely well-organized, self-motivated, and detail-oriented
  • Have a genuine excitement for developing operational systems and processes that promote efficiency, excellence and enjoyment for everyone involved
  • Be able to build cross-functional team environments that promote relationships across geographical distances, cultural communities, and up and down the organizational structure
  • Want to grow alongside the team and support other team members in doing the same
  • Be willing to work across time zones when necessary, even occasionally outside normal business hours of their home location
  • Show exceptional communication skills (written and spoken) in English (proficiency in other languages such as Spanish, Mandarin, French, Portuguese, etc is a plus but not required)
